The Village of Sugar Grove is committed to providing access to public records in accordance with Ohio Revised Code Section 149.43. This policy establishes a clear, consistent, and lawful process for requesting public records while protecting records integrity and ensuring appropriate response timelines.
A public record is any record kept by the Village that documents the organization, functions, policies, decisions, procedures, operations, or other activities of the Village, as defined by Ohio law.
Public records requests must be submitted in writing using the Village’s Public Records Request Form. Requests will not be accepted verbally during Council meetings or other public forums. Completed request forms may be submitted via:
The Village will respond to public records requests within a reasonable period of time, taking into consideration the scope, volume, and format of the records requested.
Certain records may be exempt from disclosure or subject to redaction under Ohio law. If records are withheld or redacted, the Village will provide the legal basis for the exemption.
The Village may charge the actual cost of reproduction as permitted by Ohio law. No charge will be assessed for inspection of records.
All public records requests and related documentation shall be retained in accordance with the Village’s approved records retention schedule.
